Job Description

Executive Assistant, Chief Operating Officer & Commission

This position serves as the executive assistant to the Transportation Chief Operating Officer (COO) and the Iowa Transportation Commission for initiatives and concerns involving the Iowa Department of Transportation (DOT). The position reports directly to and serves at the will of the COO. This position is at-will employment.

Location: Ames Central Complex

Shift Requirements: 8:00 A.M. – 4:30 P.M. in office Monday-Friday

Day-to-day responsibilities will include:

  • Collaborates with departmental management to prepare and maintain the agency’s strategic plan, while identifying, prioritizing, and tracking key projects and programs.

  • Coordinates communication with staff and key stakeholders, ensuring effective collaboration with Division Directors and their designees to complete various departmental activities as directed by the COO.

  • Reviews, prepares, and organizes materials and information for the COO's upcoming activities, meetings, and presentations, while also coordinating travel arrangements for the COO, Commissioners, and other necessary staff.

  • Serve as confidential executive coordination support to the Commission. Some functions being coordinating onboarding/offboarding of Commissioners, submit all time and expense reports, establish/maintain email accounts and be the central point of contact for any Iowa DOT support needed by Commission members with well-coordinated, timely, and responsive communication.

  • In coordination with and taking direction from the Iowa DOT’s Transportation Development Division director, coordinate the effective set-up and conduct of Commission meetings, including Commission workshops, business meetings, tours, and public input meetings.

Minimum Qualification Requirements

Applicants must meet at least one of the following minimum requirements to qualify for positions in this job classification:

1) Graduation from an accredited four-year college or university with a degree in any field, and experience equal to three years of full-time professional-level work in program administration, program development, program research/evaluation, or management.

2) A total of seven years of education and/or full-time experience (as described in number one), where thirty semester hours of accredited college or university course work in any field equals one year of full-time experience.

3) All of the following (a, b, and c):

a. One year of full-time professional-level work experience in program administration, program development, program research/evaluation, or management; and

b. A total of four years of education and full-time experience (as described in part a), where thirty semester hours of accredited college or university course work in any field equals one year of full-time experience; and

c. A total of two years of graduate-level education and full-time experience (as described in part a), where twenty-four semester hours of accredited graduate college or university course work in a public-service-related area (e.g., public or business administration, social work, public health, law, education, engineering) equals one year of full-time experience. Graduation from the Iowa Certified Public Manager Program is also equivalent to one year of full-time experience or education.

4) Current, continuous experience in the state executive branch that includes thirty months of fulltime work as a Program Planner (any level), Management Analyst (any level), or Administrative Assistant (any level).
