Mary Greeley Medical Center Home Health Services Assistant in Ames, Iowa
Under general supervision using independent judgment based on pre-determined guidelines, performs a set of diverse clerical duties, such as scheduling, typing, filing, phone support, processing and maintaining assorted information or materials related to an administrative function, and data entry. Provides clerical support to the following programs: clinics, Meals on Wheels, and Lifeline.
Unit Specific Position Responsibilities
Compiles time records and supporting documentation, enters information in the computer in a timely manner, edits and processes activity batches.
Compiles, edits, types and/or circulates various reports and correspondence.
Maintains general office files, records and/or logs according to established procedure. Scanning Records into Knowledgelake.
Greets customers and responds to their needs including completing documentation required for various procedures.
Assist with answering telephone with appropriate management of telephone calls.
Compiles monthly Home Health patient charges and statistics, enters information in the computer, edits and posts various batches and/or reports.
Follows up with clinical documentation that has not been returned contacting physicians as needed.
Identifies records for purging, organizes and prepares them for storage and maintains a record of their location.
Assists Intake RN by registers new patient into Home Health Electronic record
Edits department payroll utilizing KRONOS editor. Prints KRONOS reports.
Provides support at clinics for staff and clients.
Maintains immunization records and appointments and enters information in the State computer system.
Responsible for locking department at the close of the business day making sure all confidential information is secure.
Responsible for recording and monitoring refrigerator temperatures and reporting any deviances to accepted normal readings to the Public Health Nurse.
Works with and is responsible for maintaining the security of general patient and employee information.
Completes stores order and purchase requisitions, distributes clinical supplies to staff and maintains inventory of Mary Greeley Home Health and Story county Public Health supply room.
Maintains department inventory. This includes: product research, price comparison, acquisition and maintenance of par levels.
Responsible for ordering Lifeline supplies and equipment as needed and maintaining the appropriate Lifeline inventory.
Arranges for Lifeline service for clients including installation, removal and repair, gathering and updating information.
Investigates and resolves problems reported by Lifeline Center or the subscriber.
Reviews clients’ financial information and makes recommendations for reduced fees when appropriate.
Keeps abreast of changes in Lifeline services offered by vendors including fees for equipment and monthly charges and makes recommendations for timely purchases.
Maintains a volunteer base to assist with installation, repair and safety which includes recruitment and instruction.
Develops work schedules and assignments for field staff. Confers on assignment with management and staff when appropriate.
Enters schedules, orders for services, and staff calendars in the horizons scheduling software. Makes appropriate changes to schedules as requested by clients and staff.
Communicates appropriately with clients and staff regarding schedules, changes and requests.
Prints staff calendars.
Understands Mobilecare and its functions, uses Mobilecare notification system, and prints Mobilecare care plan and work sheets.

Qualifications, Knowledge & Experience
Required Qualifications (Including any licensure, certification, education):
Previous experience leading to exposure to general clerical routines and procedures, or development of special clerical skills.
Possession of a current valid driver’s license and must maintain eligibility for coverage under Mary Greeley Medical Center’s insurance policy.
De-escalation training prior to performing direct patient care or within 90 days of hire
All clinical night staff routinely working between the hours of 2300-0700 that work in Acute Rehab, Med Tele, Med Surg, Birthways, PEDS, NICU, and Oncology AND all clinical staff that work in Nursing Support Team, Behavioral Health, ED, ICCU, and House Managers will be required to take the combative patient response team training within 90 days of hire and must maintain throughout employment. Individuals less than 18 years old are excluded.
Maintain stroke education per regulatory requirements.
Highschool diploma or GED
Required Knowledge, Skills & Experience:
One year of experience lending a working knowledge of related clerical routines and procedures.
Knowledge of basic spelling, punctuation, grammar and sentence structure
Knowledge of business arithmetic including percentages and fractions
Knowledge of basic office procedures and practices
Knowledge of reference materials and guides
Ability to perform basic mathematical computations; ability to interpret and follow oral and written instructions; ability to perform varied clerical tasks with speed and accuracy; ability to establish and maintain effective working relationships with the public and others in the organization.
Skill in the use of office related equipment required in the job assignment
Demonstrated proficiency with Microsoft Office and other computer applications
