Job Description

Work duties include entering data to the Contractor Registration data base and ensuring accurate upkeep to this system for reliable data retrieval. Necessary emphasis on customer service and requires good judgment in the application of good people skills. The current data base of Amanda is the system for all data Contractor Registration collects. Position requires monitoring of applications and communication with the supervisor for accurate input and modifications to application information as necessary. Interfaces with walk-in clients to explain Contractor Registration application process. Reviews information to determine application eligibility and advises client of status. Consults with Worker's Compensation unit and UI staff to verify proper insurance is in force. Reviews and consults with out-of-state contractors to obtain evidence of required contractor bonding is on file. The primary duties of this position will be data processing for the Contractor Registration section. Maintains computers and ensures functional accuracy of all electronic data storage and input. Validates (checks, verifies dates and times, etc.).

Assist the Investigator 2 and Administrative Assistant 1 with research of Workers Compensation coverage, penalty debt, and surety bond status of contractors. Maintains and prepares correspondences for those in violations and/or default on payments.

Type and proof correspondence to the public for activities about Contractor Registration. Ensure data and information is accurate, contains good grammar/spelling and prepares draft report for management. Maintains files and electronic database and retrieve statistical information as needed. Responds to telephone calls and inquiries from the public, labor staff and UI misclassification staff. Answers and forwards routine questions as necessary to Program Planner for more complex questions from the public and staff. Assists fellow staff with research to complex questions and inquiries. Assists with the development of educational material for Contractor Registration and provides necessary data for annual report.

Prepares mail invoices and certificates and other documents consistent with IWD mail room policies. Continually reviews Contractor Registration's database and updates and issues refunds when necessary.

Provides clerical support within the Division of Labor as needed for reception area coverage for telephone and mail. Maintains office supplies for work area and orders supplies as necessary.

No applicant for employment with the Iowa Department of Workforce Development can have a current, ongoing overpayment balance with Iowa Workforce Development without a payment plan in place. Select positions will be subject to a criminal background check.

Minimum Qualification Requirements

Experience equal to three years of full-time clerical or closely related work;

OR

an equivalent combination of education and experience, substituting graduation from high school, G.E.D. equivalency or satisfactory completion of a recognized correspondence or formal job-related training course at the high school or equivalent level such as that offered by WIN, OEO, CEP, CIVEC or similar programs, for one year only of the required experience;

OR

an equivalent combination of education and experience, substituting nine months or thirty semester hours coursework in an accredited business school, college or university for each year of the required experience;

OR

certification from the State of Iowa Administrative Assistant Certificate Program will substitute for six months of the required experience;

OR

employees with current continuous experience in the state executive branch that includes the equivalent of eighteen months of full time experience as a resident treatment worker or Clerk–Advanced.
