Purpose of the Job
To provide a comprehensive and flexible administrative support service to the Project Director and Projects team within the AMS Data Center Solutions Division.
Key Responsibilities
1 Ensuring business policies and processes are effectively communicated and implemented within the Projects team.
2 Ensure the provision of healthy and safe working conditions and that both clients and Company health and safety policy and process is effectively implemented across the Business Unit.
3 Develop project review pack.
4 Management of all QHSE online reporting (to include Hazards, SmoWP, Audits)
5 Completion of Audit Schedule each year
6 Ensure staffing structures on all contracts are updated when requested.
7 Ad hoc event management upon request
8 Diary and Email Management for the Project Director
9 Ad hoc Travel arrangements for Project Director
10 Working with other Head of Projects and Operational managers to ensure the collaborative development of the business, effective team working, and support to colleagues.
11 Promoting and maintaining the core Values of CBRE Managed Services.
Provision of guidance, advice, coaching and support to all other Project Coordinators within the business, where required to deliver best practice selection, training, assessment and recognition/reward.
Delivering effective business communication through advice, review, and direct contribution to management and team meetings, briefings, consultation forums, correspondence, publicity, monthly and ad-hoc reporting and other publications, as appropriate.
Provide a learning environment, and appropriate training and development planning. Ensure basic training needs are delivered, employees are fully competent to undertake their roles, and are able to reach their full future potential.
15 To assist with all sales opportunities for the Business Unit. Supporting the Sales Team throughout the sales process
16 Ensure the completion of all Pre-Qualifying Questionnaires for the Business Unit
17 Arranging all sales calls with Senior Team members on an ad hoc basis
18 Work with our Sub-contractors and Head of Projects to ensure the best price for all sales opportunities.
19 Support of Mobilization as and when required.
Accountabilities
Reporting to a CBRE Managed Services Data Center Solutions Project Director.
Accountable day to day to supporting the Projects team.
Accountability to the CBRE Managed Services functional heads, as appropriate.
Key Skills
Good knowledge of the North Business Unit and wider CBRE
Strong communication skills, both verbally and written
Provide accurate administration of all paperwork generated at Office level.
Highly efficient in the use of Microsoft Outlook, Excel and Word
Proficient use of MS Projects and Bluebeam
Work within a busy office environment, and support office teams in order to ensure the smooth running of day-to-day activities.
Find and obtain information and documents quickly.
Strong numeracy skills.
Excellent attention to detail

High School Diploma/GED required, with 2-4 years of experience in contract management, client care at financial institutions or similar background, preferred.
Ability to comprehend and interpret instructions, short correspondence, and memos and ask clarifying questions to ensure understanding.
Ability to write routine reports and correspondence.
Ability to respond to common inquiries or complaints from clients, co-workers, and/or supervisor.
Ability to optimally present information to an internal department and/or large groups of employees.
