Project Coordinator – Medical Communications

Location: US Based, East Coast or Central Coast Preferred

The Project Coordinator provides comprehensive team, administrative, and project support to ensure effective overall management of accounts and execution of deliverables. You are key to effectively supporting day-to-day activities of individual projects in a manner that ensures all timeframes and targets are met.

The role

· Embrace and contribute to our culture of process improvement with a focus on streamlining our processes, adding value to our business and meeting client needs

· Comply with company-sanctioned processes for delivery of projects through adherence to best practices/SOPs and use of internal systems that enable efficient and effective execution.

· Interact with internal delivery teams including Content, Creative, Finance, and other delivery operations members to assure that projects are delivered on-time, on-budget to meet client expectations

· With guidance from senior staff, the Project Leader is expected to support the financial and project management of assigned projects to ensure successful execution and outcome

· Provide task-based project management support, assisting the Account Services team and wider delivery teams in meeting day-to-day tasks, including project routing, timelines development and maintenance, and budget/hours management/monitoring

· Keep team members informed and regularly updated on project status. Triage competing requests and find solutions for capacity and resource issues

· Raise swift awareness to proactively head off issues that put projects at risk for staying on-time, on-budget, and maintain our standards of quality and value

· Coordinate revisions, submission preparation and conduct follow-up as necessary

· Own task management in time-tracking and project management systems: implements/maintains projects

· Own and maintains internal/client status sheet

· Fully trained on client systems and dedicated to compliance in use of these systems

· General understanding of other department best practices

· Financial awareness of efficiencies

What you need

Job Description Summary:

The Project Coordinator provides administrative and project support to assist the Project Leader teams in day-to-day activities in a manner that ensures effective overall project management of accounts and execution of deliverables.

What you need:

· Excellent verbal/written communication skills

· Excellent time management skills

· Strong problem-solving and critical thinking skills

· A desire and ability to take direction for work tasks as well as collaborate and work as part of a team

· A positive attitude and initiative to complete tasks independently

· The ability to multitask throughout the day and stay focused and organized as well as being able to switch gears as needed to address urgent requests

· A desire to work in the Medical Communications field

· Knowledge of computer systems and software

· The ability to learn and gain proficiency with software, including but not limited to MS Office suite, SharePoint, Acrobat Pro, Workzone/PlanView

· Demonstrable command of the English language (read, write, and speak)

Job Description:

· Interacts with internal delivery teams including Content, Creative, Editorial and other delivery operations members to assure that projects are delivered on-time, on-budget to meet client expectations

· Assist teams in addressing client requests including but not limited to journal and congress outreach/queries

· With guidance from senior staff, Project Coordinators are expected to support the project coordination of assigned projects to ensure successful project initiation, execution and outcome

· Provides task-based project coordination support, assisting the Account Services team and wider delivery teams in meeting day-to-day tasks, including project routing and additional tasks as assigned

· Provide project document management support to cross-functional teams by assisting in the administration, archive and tracking of essential documents of assigned projects

· Assist to keep team members informed on assigned projects and tasks

· Assist in fulfilling client deliverables, including but not limited to securing submissions requirements

· Coordinate submission preparation and conduct follow-up as necessary

· Coordinate revisions

· Assist with task management in time-tracking and project management systems: Implements/Maintains Projects

· Assist with internal/client status sheet including maintenance and updates

· Follow-up action items internally post meetings

· Back up for sending deliverables to client/key leaders

· Back up for day-to-day contact with client

· Awareness of client systems and compliance in use of these systems

· General understanding of other department best practices

· Support Manager, Project Management with tasks as assigned
