SMX is looking for a Proposal Coordinator to support proposal development within our Growth Office team. This position is 100% remote.
Support the management, development, and submission of proposals; collaborate with Proposal/Capture Managers to coordinate proposal resources and schedule
Review proposal instructions, evaluation factors, and Performance Work Statements/Statements of Work (PWS/SOW) and use information to develop comprehensive compliance matrices, annotated outlines, and proposal templates
Develop, coordinate, and manage the distribution and collection of data calls for compilation of required teammate information
Active management, oversight, and communication of proposal status and all relevant solicitation and RFI deadlines to the proposal team, management, consultants, and subcontractors/partners
Respond to smaller-volume and lower-value solicitations, RFIs, and sources sought notices with minimal assistance
Continually seek improvement in processes and procedures that will ultimately improve the quotation and proposal turn-around time and the quality of offerings, with the goal of improving win rate and generating additional business
Support the development and implementation of processes for proposal management, coordinating with all Business Units and corporate functional areas
Ensure accuracy of proposal core data/information on templates and check drafts throughout the proposal process, especially following document recovery from color team reviews
Assist the Proposal Manager in reviewing proposal artifacts for compliance and responsiveness against solicitation requirements
Support the development and management of MS SharePoint and Teams sites used for proposal development
Support corporate-wide training initiatives related to Proposal Center of Excellence proposal activities, templates, and processes
Mentor and cultivate Junior Proposal Coordinators through training and shadowing
Required Skills and Experience:
US citizenship required for work under DoD contracts
Four-year degree or equivalent experience
Minimum three years of experience working on a Proposal Development Team responding to DoD, Federal Civilian, and/or commercial solicitations
Must have a strong attention to detail and quality
Advanced critical thinking, problem-solving, and time management skills
Ability to handle and complete multiple projects under shifting priorities
Ability to work independently and utilize sound judgment in making decisions
Excellent verbal and written communication skills; strong writing and editing abilities
Advanced experience with Microsoft Office suite, particularly Word (strong understanding of Styles and other advanced features are a MUST), Excel, and Outlook as well as Adobe Professional
Must be able to lead/work as part of a group to develop new and innovative ideas for proposal responses
Demonstrate excellent interpersonal, communication, and customer service skills; able to work effectively with all levels of employees across the organization
Desired Skills and Experience:
Knowledge of Shipley process and APMP Body of Knowledge
APMP Foundations Certification
Understanding of Government contracting and solicitation/RFP processes
Knowledge of proposal content management systems setup and governance
