Position Summary Information
Grinnell College is currently seeking a motivated and well-organized individual to provide part time support to the office of the Ombuds.
Provides administrative and technical support for a very busy and highly confidential office. Exercises excellent judgment and provides sensitive and tactful assistance to visitors who may be dealing with very difficult issues and who represent all parts of the college community.
The person in this role will assist with general office responsibilities, schedule meetings, calendar events, maintain office supplies and equipment and contribute to other projects and initiatives as needed. Additionally, this position will coordinate and manage the logistics associated with planning and preparing for training workshops, prepare training materials, inputting data and assist with preparing reports. The Administrative Assistant will work closely with the Ombuds and will perform confidential administrative duties requiring broad knowledge of organizational policies and practices.
Minimum of three years of experience in performing office administration tasks effectively and efficiently.
Demonstrates a basic proficiency in the following:
working effectively with a variety of individuals and groups in a constructive and civil manner while appreciating the unique contribution of individuals (i.e. individuals from varied cultures, race, creed, color, national origin, age, sex, disability, sexual orientation, gender identity, and veteran status);
Demonstrates a working knowledge of and ability to:
use office support tools (e.g. outlook calendaring, word processing, email, presentation software and spreadsheets);
produce documents that are clear and well-presented, using various techniques to disseminate and gather information while maintaining confidentiality; and adapt writing to different audiences;
utilize communication techniques and relationship building skills that enable one to work with a variety of individuals and groups in a collaborative manner;
Demonstrated experience with a high level of confidentiality.
