Temp Administrative Assistant
$20/hour Depending on experience
Monday - Thursday, 6am - 4:30pm
We’re looking for a detail-oriented Administrative Assistant to support our Maintenance Department. If you’re organized, proactive, and thrive in a fast-paced environment, this role offers the chance to make a real impact while collaborating with a dynamic team.
Responsibilities:
Organize and maintain digital and physical filing systems.
Manage calendars, schedule meetings, coordinate events, and arrange travel.
Build relationships with admin teams across departments to streamline processes.
Order supplies and track inventory.
Sort and deliver mail.
Coordinate catering for meetings.
Participate in safety drills.
Prepare materials and presentations for meetings and technical conferences.
Greet and assist visitors, ensuring a professional experience.
Set up new employees and contractors in the asset management system.
Post weekly overtime reports and track labor hours.
Enter work order data and close out completed maintenance tasks.
Audit contractor invoices for labor, travel, and per diem expenses.
Support maintenance team with software inquiries and report access.
Assist with turnaround administration, monitoring contractor labor and costs.
Provide backup support for other admin functions, such as accounts payable.
Requirements:
High school diploma or equivalent required; two years of college is a plus.
1 year of administrative experience, preferably in maintenance or a similar environment.
Proficiency in Microsoft Office Suite.
Strong organizational and time management skills.
Ability to work independently and handle multiple priorities.
Excellent communication skills, both written and verbal.
High attention to detail and a problem-solving mindset.
Professionalism and the ability to maintain confidentiality.
Compensation and benefits:
$20/hour DOE
