LOCATED IN SPENCER, IA!!!!!i i VERY COOL OFFICE looking for an Administrative Assistant!!The position of Administrative Assistant will be responsible for providing administrative support to ensure the efficient operation of the office. Will work closely with all staff to provide general project, accounting, and administrative support.Duties/Responsibilitiesi Provide front desk coverage, including managing a multi-line phone system, creating positive first impressions when greeting guests who enter the office, managing incoming/outgoing mail and shipments, maintaining an organized and clean office environmenti Provide responsive and courteous support to employees and guests, in-person and over the phonei Coordinate conference room reservations and activities, including catering when neededi Coordinate and make arrangements for conferences, meetings, and in-house eventsi Ensure a professional and well-kept presentation of office space (reception area, conference rooms, and kitchen areas)i Maintain office calendar and support office social and cultural activitiesi Carry out administrative duties such as filing, typing, copying, and scanningi Perform administrative support tasks as assigned by the executive/leadership team as well as others within the officei Follow an organized filing/management process for electronic and paper documentsi Maintain filing system, contact database, employee list, and inventoriesi Prepares communications such as memos, emails, invoices, reports, meeting minutes, and other correspondencei Maintains supplies inventory by checking stock to determine inventory level, anticipating needed supplies, placing orders and managing purchasing emaili Use company provided software to create multiple agreements between Owners, Contractors, Architects, and Consultantsi Produce and distribute correspondence letters and forms, including contracts and other legal documentsi Reconcile monthly credit card statementsi General Accounts Payable duties including processing vendor invoicesi General Accounts Receivable duties including daily bank depositsi Responsible for updating the monthly net billings spreadsheeti Perform other related duties as assigned**Job description is subject to change at any time.Required Skills/Abilities:i Excellent verbal and written communication skillsi Excellent time management skills and ability to multi-task, organize and prioritize worki Knowledge of office management systems and proceduresi Strong customer service and communication skills with a polite and pleasant dispositioni Energetic, proactive, and motivated with a keen eye for detaili Proficient in Microsoft Office Suite or related softwarei Must possess a valid driver's licenseEducation and Experience:i High school diploma or G.E.D requiredi Two years of relevant office experience preferredi Previous experience in the AEC industry is valuedWork Environment:This position routinely operates in a professional office environment; routinely uses standard office equipment.Physical Demands:i Prolonged periods in a stationary position at a desk and working on a computer.i Will occasionally move about the office to access file cabinets, office equipment, etc.i Constantly operates a computer and other office equipment such as a copy machine/printer, etc.i Frequently communicates with employees, clients, guests, and others for various needs. Must be able to exchange accurate information in these situations.i Occasionally moves, office equipment/items weighing up to 15 lbs
