Performs support duties for Plant Operations, Security and Telecommunications; such as Kronos, ordering and general staff support. Contributes to the overall day-to-day operations by maintaining the WebTMA database that is utilized for all work orders and preventative maintenance notifications and documentation. Maintains and manages the vehicle fleet for the Quad Cities region of UnityPoint Health. Involved with other departmental and regulatory initiatives such as signage and vendor relations.

Administrative Support

  • Provide administrative and clerical support to the Plant Engineering, Plant Operations, Security, Switchboard, Environmental Services and Linen departments by answering calls, providing correspondence, compiling reports and presentations, coordinating meetings, reconciling P-Card bills and invoices, and maintaining working files of all correspondence and materials.

  • Schedules and organizes calendar of appointments for departmental meetings and committees.

  • Orders departmental supply stock, office supplies and printed materials for supported areas.

  • Submits and follow up on all purchase requisitions, IT requests and maintenance requests for supported departments and new hires.

  • Maintains organizational charts and phone lists for supported departments.

WebTMA Database Administration

  • Responsible for building, configuring and maintaining the WebTMA database for the facilities departments in the QC and Muscatine.

  • Programs all routine work orders and preventative maintenance items to ensure regulatory compliance.

  • Inventories and maintains facilities equipment lists including asset labeling. Tracks all assets that facilities maintains within the database.

  • Provides education and technical help to end users on database system.

  • Conducts billing to various departments or entities depending on work order performed.

  • Responsible for all ongoing maintenance and data integrity.

Vehicle Fleet Management

  • Maintains ARI’s database to correctly monitor vehicles for all departments across the QC region (registration renewals, driver’s packets, fuel cards, adding/removing vehicles from service, maintaining current insurance information, etc.)

  • Reviews and approves monthly billing.

  • Coordinates with finance department to make sure they receive vehicle titles, and notifies them of any driver name additions or deletions.

  • Point of contact for all vehicle accidents.

  • Responsible for company vehicle policy.

Departmental Initiatives

  • Creates, maintains, and deploys inventory of Safety signs to ensure regulatory compliance.

  • Creates and maintains master facilities vendor contact list. Responsible for creating standing POs for frequently used vendors.

  • Department requisitioner for ordering any supplies needed.

  • Maintains all in house directory signage (elevator directories, insert signage, etc.)

  • Works with project teams to ensure adequate signage during project design and construction.

Basic UPH Performance Criteria

  • Employee maintains current licenses and/or certifications required for the position.

  • Practices and reflects knowledge of HIPAA, TJC, DNV, OSHA and other federal/state regulatory agencies guiding healthcare.

  • Completes all annual education and competency requirements within the calendar year.

  • Is knowledgeable of hospital and department compliance requirements for federally funded healthcare programs (e.g. Medicare and Medicaid) regarding fraud, waste and abuse. Brings any questions or concerns regarding compliance to the immediate attention of hospital administrative staff. Takes appropriate action on concerns reported by department staff related to compliance.


High school degree or GED equivalent

Associates degree in related field


Minimum 2 years of experience working with complex system databases

Extensive database creation and maintenance experience


Valid driver’s license when driving any vehicle for work-related reasons.


Ability to work independently, accountability, adaptability, collaboration, flexibility, customer/patient focused, interpersonal skills, experience with Microsoft Office, planning and organization skills, problem solving, professionalism, project management, teamwork, technical aptitude, ability to teach and help others.


Use of usual and customary equipment used to perform essential functions of the position.

Work may occasionally require travel to other UPH facilities. May drive a UPH vehicle, rental or own vehicle.
