Job Description

This position is located in Woodward, Iowa

Maintain accurate and timely staffing boards by entering data at 40wpm from multiple sources on an ongoing basis. This includes but is not limited to the following:

  • Enter time off requests for each shift (AMs, PMs, NOCs) as they are received and as requests are approved.

  • Enter staff absences into the call-in log for all three shifts – AMs, PMs, NOCs. Includes time of call, reason for absence, return date, type of leave and any other pertinent information.

  • Enter information regarding staff attending training classes, staff who are relieving to other units, staff going on med trips, staff attending special activities, staff on restricted duty and any other activities that take staff away from their assigned unit.

  • Enter overtime information, including documenting your communication with staff as each call is made. Maintain a current list of volunteers within the scheduling system.

  • Update daily team reports, including nurse assignments and covering RTS assignments in WRC scheduling system and e-mail correspondence regarding those assignments and any schedule changes each shift.

  • Compute time worked for up to 280 employees who work different shifts (AMs, PMs, NOCs) from machine punched time cards/Kronos.

Duties include:

  • After verifying computations are correct, accurately transfer the information to the payroll annual form to ensure employees are paid correctly for hours worked, including any overtime and med pass pay, and that the appropriate leave is taken to assure available leave balances are current and accurate.

  • Respond to questions involving what you submitted to Human Resources for payroll entry.

  • Maintain file of time cards/Kronos reports and the payroll annual form for easy retrieval. File time cards each pay period alphabetically in order to retrieve information quickly in response to requests from Human Resources and State Auditors. Coordinate with others within the Staffing Unit so that procedures used are consistent

  • Assume projects as assigned by supervisor which would support the work done by Habilitation Services staff.

  • Provide back-up typing to two secretaries assigned to Habilitation Services as requested.

  • Ensure adequate supplies are available for completion of daily staffing duties.

  • Keep work environment neat, clean and orderly.

  • Participate in weekly staff meetings, taking turns recording and typing minutes and distributing copies.

  • Other duties as assigned.

Minimum Qualification Requirements

Applicants must meet at least one of the following minimum requirements to qualify for positions in this job classification:

  • The ability to type at least 40 words per minute,as verified by a typing test, and experience equal to one year of full-time clerical office support work.

  • The ability to type at least 40 words per minute, as verified by a typing test, and a total of one year of education and/or full-time experience (as described in number one), where one year of post-high school course work in an accredited secretarial, business, or closely-related curriculum or 30 semester hours of accredited college or university course work in any field equals one year of full-time experience.

  • Current, continuous experience in the state executive branch that includes six months of full-time work as a Typist.
